Consultant invoice template for retainers, milestones and expenses

Consulting invoices are approved by people who did not attend your meetings. They are checking the invoice against a contract, a budget line and often a purchase order, and anything that does not reconcile is returned rather than queried. A consultant invoice therefore has a different job from a freelance one: it has to be auditable. This page covers retainer and milestone structures, how to handle expenses, and how to describe advisory work in a way that survives review.

What a consultant invoice should show

01

The purchase order or contract reference

In most companies an invoice without the PO number is not late, it is unprocessable, and it will sit until someone notices. Ask for the PO number before the first invoice, not after the first delay.

02

The engagement, not just the month

"Consulting services – March" tells an approver nothing. Name the engagement and the period: "Supply chain review, phase 2, 1–31 March". They are matching it to a budget line, so use the words the budget uses.

03

The billing basis, stated on the invoice

Say whether the amount is a monthly retainer, a milestone, a day-rate total or a capped time-and-materials figure. If the contract caps the total, showing the amount billed to date against that cap prevents the invoice being held for checking.

04

Days and day rate as separate columns

For time-based work, show days and rate rather than a single number. A rate on the invoice that matches the rate in the contract is the fastest possible approval.

05

Expenses separated from fees

Recoverable expenses belong on their own lines, below the fee lines, marked as expenses. Many contracts treat fees and expenses under different approval limits, and combining them can push the total past a threshold that requires a more senior sign-off.

FAQ

Consultants invoice template: frequently asked questions

Should a consultant invoice in advance or in arrears?

Retainers are normally invoiced in advance for the coming period, and project work in arrears against completed milestones. Whichever you choose, keep it consistent and state the period on the invoice, because the mismatch between what was invoiced and what the client thinks they are paying for is what causes disputes.

How should I show a capped time-and-materials engagement?

Show the days and rate for the period, then the cumulative amount billed against the cap. It takes one extra line and removes the main reason this type of invoice gets held for manual checking.

Can I add a purchase order number to an Invooza invoice?

Yes. Define PO Number as a custom invoice field on the Fields page and it is asked for and printed on every template, including this one.

What if the client's registered name differs from the name I deal with?

Always invoice the registered legal entity named in the contract, not the trading name or the department. An invoice addressed to an entity that does not exist in their finance system cannot be entered.
