Plumber invoice template for call-outs, parts and labour
Invoice checklist
What a plumber invoice should show
The job address, the billing address and any works order number
When a landlord or agent pays, the property you worked at and the name on the bill won't match, so print both. Copy the agent's works order number exactly and send the invoice to the address on the order, not to the tenant who let you in. Some agents pay contractors in a weekly or monthly run, and an invoice they can't match to an order may miss it.
The fault, and what you did about it
Write what was reported, then what you found and did: "Leak under kitchen sink. Compression joint on cold feed failing; joint remade, isolation valve replaced." Whoever approves payment can check it against the original call, and the next plumber to visit knows what's already been done.
Visit date and times on site
Give the date, and for hourly or out-of-hours work, when you arrived and when you left. When an hourly total looks high, the times are the first thing a customer checks, and having them printed usually settles it.
Parts by make, model and quantity
A line like "Thermostatic radiator valve, 15mm, ×2" tells the customer what they bought. Adding the manufacturer and model gives them what to quote in a warranty claim, which matters far more on a shower pump or a mixer shower than on a washer. Olives, PTFE tape, flux and solder can share one sundries line.
Your workmanship guarantee
One sentence on how long you guarantee your own work, kept apart from the manufacturer's warranty on parts. If the customer supplied the tap, suite or shower and you only fitted it, note that as well. It makes clear that your guarantee covers the fitting and not the product.
VAT if you're registered, and CIS if you work for builders
If you're VAT-registered, show your VAT number, the rate and the VAT amount separately from the net total, and check HMRC's VAT invoice rules if you trade in the UK. A UK business that isn't registered can't charge VAT, so leave the line off. Subcontracting to a builder in the UK brings in CIS, where deductions are taken from labour but not materials, so keep the two on separate lines; if you're both VAT-registered, the domestic reverse charge may apply instead of you adding VAT. Outside the UK, ask your own tax authority.
Getting paid
How to bill as a plumber
Call-out fees
Say what the call-out covers. If it includes the first hour on site, write that on the line and charge labour from there; if it only pays for you turning up, call it an attendance charge so nobody expects work to be included. Saving the call-out and your hourly rate in Invooza's products and services list keeps the wording the same on every job.
Hourly work and fixed-price jobs
Hourly lines need the rate, the time and the increment you charge in. If the line says you bill in half hours, 1 hour 20 minutes charged as 1.5 reads as your policy and not as rounding in your favour. A fixed-price job like a radiator swap gets one line saying what was included. Anything found once you'd opened it up, say a seized stopcock, goes on its own line with the date the customer agreed to it.
Out-of-hours and emergency rates
Agree the rate before you set off and confirm it by text, because nobody remembers a price quoted at 2am with water coming through the ceiling. On the invoice, name the rate and when it started: "Emergency rate, Sunday, arrived 23:10." If the job ran on into normal hours, split the time across both rates.
Deposits on bathroom fits
Take a deposit before ordering anything that can't go back, like a made-to-measure shower enclosure or a special-order vanity unit, and list those items on the deposit invoice. If the job is cancelled, both of you can see what the money bought. The final invoice shows the full price, the deposit with the date it was paid, and the balance.
Templates
Best Invooza invoice templates for plumbers
Every template renders as a real PDF with your own logo, tagline and brand colours. These three suit this kind of work best, but all fourteen are available on every account.
Modern
The largest text in the set. Homeowners often open the invoice on their phone before you've packed up, and the total should read without zooming.
Helix
Wide margins keep long part descriptions and model numbers readable, and the invoice number and dates sit together in one label column.
Classic
The conventional layout with a ruled table. Letting agents process invoices from every trade they use, and a familiar format is the least likely to be queried.
Avoid these
Plumbers invoice mistakes that delay payment
Writing invoices up at the end of the week
By Friday, the model number of Tuesday's valve and Wednesday's extra twenty minutes are gone, so invoice before you leave the street. If you keep paper job sheets, photograph one and attach it in Invooza's chat, which reads the client, items and prices out of it.
Doing extra work because the tenant asked
A tenant who asks you to look at the dripping bath tap while you're there usually can't commit the landlord's money, and the agent can refuse any line that wasn't on the works order. The same goes for a repair that costs more than the limit on the order. Ring the agent for approval and note who gave it, or agree that the tenant is paying and invoice them separately.
Not recording advice the customer turned down
If you spot a weeping joint or a corroded gate valve and the customer doesn't want it done today, add a line such as "Advised replacing corroded gate valve on cylinder cold feed; customer declined." Should it let go next winter, there's a dated record that you raised it.
Leaving warranty registration to chance
Boiler and unvented cylinder manufacturers commonly ask for a new appliance to be registered within a set period before the extended warranty applies. Say on the invoice whether you've registered it or the customer needs to, so neither of you assumes the other has done it.
FAQ
Plumbers invoice template: frequently asked questions
What if I can't finish the job on the first visit?
Usually a part needs ordering. You can invoice the call-out and diagnosis now and the repair on completion, as long as the customer agrees before you leave. On the first invoice, name the part on order and when you expect to be back, so a second invoice doesn't come as a surprise.
What's the difference between a quote and an estimate for plumbing work?
In the UK, customers generally take a quote as a fixed price and an estimate as a best guess, so use the word you mean. A final invoice against a quote should match it, with any agreed extras on their own lines. If an estimated job came in higher, give the reason on the invoice.
Can I add a job address or works order number to an Invooza invoice?
Yes. Add them as invoice-level fields on the Fields page. They appear in the invoice form, the chat assistant asks for them, and they print on every template, which helps with agents who won't process anything without their own reference.
Should my Gas Safe number go on the invoice?
If the job involved gas work in the UK, it's worth adding. Anyone doing gas work there as a business has to be on the Gas Safe Register, and landlords and agents often ask for the number for their records. Water-only jobs don't need it. Outside the UK, check what your local regulator expects.
