Freelancer invoice template, and what to actually put on it
Invoice checklist
What a freelancer invoice should show
A unique, sequential invoice number
Your client's finance team refers to the invoice by number, and so will you when you chase it. Numbers that repeat or jump around cause duplicate-payment checks, which is one of the most common reasons an invoice is held.
Both sides, in full
Your trading name, address and contact email, and the client's registered name and billing address. The name on the invoice should match the name on the contract or purchase order. If they differ, the invoice goes back to you.
A description a stranger could verify
"Design work" is not verifiable. "Homepage and three interior page designs, two revision rounds, delivered 14 March" is. Whoever approves the payment usually did not hire you, so write the line for them.
Issue date and a due date, not just terms
Write "Due 14 April" rather than only "Net 30". A date is something a person can act on; terms have to be calculated first, and anything that needs calculating gets postponed.
How to pay you
Bank name, account title, account number or IBAN, and any reference the client should quote. If you accept more than one method, list them in the order you prefer.
Tax and currency, stated explicitly
Show the currency symbol and code, and whether tax is included or added. A client billed across borders should never have to guess which currency the total is in.
Getting paid
How to bill as a freelancer
Hourly work
Give the rate and the hours as separate columns rather than one combined figure. A client who can see 12 × $75 rarely queries $900; a client who only sees $900 sometimes does. If you tracked time across several days, either list the days or attach the breakdown.
Fixed-fee work
One line with the agreed deliverable and the agreed price. Resist itemising a fixed fee into hours: it invites the client to negotiate the parts rather than pay the whole.
Deposits and advances
If you took money up front, the final invoice should show the full amount, then the advance received with its date, then the balance still owed. An invoice that silently shows only the remainder looks wrong against the contract and gets queried.
Extra work outside the original scope
Put it on its own line with its own description, not folded into the main fee. Scope changes that appear as a larger number with no explanation are the most-disputed item on freelance invoices.
Templates
Best Invooza invoice templates for freelancers
Every template renders as a real PDF with your own logo, tagline and brand colours. These three suit this kind of work best, but all fourteen are available on every account.
Modern
The largest type in the set, which matters because a client often opens your invoice on a phone first.
Minimal
Type and whitespace only. Good when the work speaks for itself and you want nothing decorative in the way.
Classic
The conventional layout an accountant or bookkeeper expects to file without asking you to resend it.
Avoid these
Freelancers invoice mistakes that delay payment
Sending it to the person who hired you
That person often cannot pay it. Ask once, early, who handles invoices and whether a purchase order number is needed, then send it to that address every time.
No due date
An invoice without a date to act on has no deadline to miss, so it never becomes urgent.
Attaching an editable file
Send a PDF. A document format that can be changed after you send it raises questions you do not want to answer about which version is authoritative.
Waiting to chase
A short, factual message the day after the due date works far better than a longer one two weeks later, and costs the relationship nothing because it is not yet a complaint.
FAQ
Freelancers invoice template: frequently asked questions
What payment terms should a freelancer use?
Shorter than you think. Net 14 is normal for small clients and sole traders; larger companies frequently impose Net 30 or Net 45 regardless of what you write. Agree the terms before you start, and put the resulting due date on the invoice as a date.
Should I charge a late fee?
Only if it was agreed in writing before the work started. A late fee that appears for the first time on an overdue invoice is usually ignored and sometimes damages the relationship. Its real value is as a deterrent stated up front, not as income.
Do I need to be registered for tax to send an invoice?
That depends entirely on your country and your turnover, and it is worth confirming with an accountant in your own jurisdiction. In most countries, if you do charge tax, the invoice has to show the rate, the tax amount and your tax registration number separately from the net total, but check your tax authority's own invoice rules.
How do I invoice a client in another country?
State the currency code as well as the symbol, agree who covers the transfer fee before you invoice, and include the bank details in the format that country's banks use. Invooza keeps the currency you set in Rules on every template.
